Terms and Conditions

Definitions

  • The Competition: The Community Forum 2014 Lightning Talks Competition
  • The Entrant: Person who submits an Entry to the Competition
  • The Entry: The application package submitted by the entrant
  • The Organisers: The EGI.eu organisation, which coordinates the EGI-InSPIRE project
  • The EGI Community: Is defined as including the participants of the EGI.eu foundation (the NGIs and EIROs represented in the EGI Council); affiliated VRCs supported by EGI; Resource Infrastructure Providers integrated in EGI that are represented through the EGI Council.

1. Introduction

1.1 Aim of the Competition

The Competition aims to select up to four Entrants to give a lightning talk at the Opening Plenary of the EGI Community Forum 2014 in Helsinki.

1.2 Eligibility

The Competition is open to all researchers who use computing services and resources provided by the EGI Community for their work.

2. Entry Submission

Entry submission opens on 18 March 2014. The deadline is 6 April 2014 at 23:59 Central European Summertime Time (CEST). Entries received after this date will not be considered by the Organisers.

Entry submission is via the dedicated Indico page for the competition. Entries submitted by email will not be considered.

The Entry will be composed of:
  • [mandatory] The application form, which comprises four mandatory fields (with word count limit of 150 words)
    • Brief description of research
    • Why was EGI important when conducting this research?
    • How did you use the computing resources made available by EGI?
    • What is the overall impact of your work?
  • [mandatory] A draft of the presentation (4 slides).
  • [optional] A list of up to five relevant publications.
The Organisers are not responsible for any hardware, software, or system failures that may prevent entry submission.

All submissions will be acknowledged by the Organisers.

The e-mail address used by the entrant to submit an entry will be the address used by the Organisers for any correspondences related to the competition.

By submitting an entry, entrants accept the full Terms and Conditions of the Competition and agree to be bound by them.

The decision of the Organisers in relation to any aspect of the competition is final and no correspondence will be entered into in relation to the organiser's decisions.

3. Selection

Up to four winners will be selected by the Selection Committee.
The Selection Committee is composed of EGI.eu staff members, and relevant professionals and researchers who are part of the EGI Community.

The Selection Committee will use four criteria:
  • Clarity – is the Entry well explained? Was the Entrant successful in explaining the research they conduct?
  • Showcase of EGI – Is the Entry a good show case of EGI’s added values?
  • Impact – including how does the research relate to the three pillars of Horizon 2020
  • Excellence of science – How relevant is this research in its field? What is its scientific impact?
The Organisers will announce up to four winners on 14 April 2014. The Selection Committee's decision is final and no correspondence will be entered into in relation to that decision.

The Organisers reserve the right to not select any winners.

The decision of the Selection Committee will be communicated by email to all participants.

4. The Prize

The winners will receive a prize composed of:
  • A 10 minute slot during the opening plenary to give their Lightning Talk (see 4.1)
  • Full-week Registration to the Community Forum (see 4.2, Travel Expenses)
  • A return ticket to Helsinki (see 4.2, Travel Expenses)
  • Accommodation for up to five nights in Helsinki during the Community Forum (see 4.2, Travel Expenses)
The winners will be eligible to receive the prize if, and only if, they are available to present the Lightning Talk at the Opening Plenary. If the winner is not willing to present the Lightning Talk, the rest of the prize is forfeit.

4.1 Lightning Talk

The winners will be invited to give a Lightning Talk at the Opening Plenary of the EGI Community Forum in Helsinki, Finland (19-23 May 2014). The Opening Plenary will take place on Monday 19 May 2014, between 13:00 and 14:30 local time. The winners must be available to present the Lightning Talk during this period. It is not possible to change the schedule of the Opening Plenary.

Once selected, the entrant will work with the EGI.eu Communications Team to create the final presentation to be used during the Lightning Talk. This will be completed no later than a week before the Community Forum.

4.2 Travel Expenses

The Organisers will cover the Travel Expenses of up to four winners. The Travel Expenses include:
  • Full-week registration to the Community Forum. The Organisers will register the winner. The winner may not claim reimbursement for self-paid registration.
  • A return ticket to Helsinki. The Organisers will book and pay for the winner’s travel, in agreement with the winner. The winner may not claim reimbursement for self-paid travel tickets.
  • Accommodation for up to five nights in Helsinki. The Organisers will book the winner’s accommodation, in agreement with the winner. The winner may not claim reimbursement for self-paid accommodation expenses.
The winner is required to be in Helsinki for the Opening Plenary on Monday 19 May 2014 (13:00-14:30).

The Organisers will offer accommodation for up to five nights during the EGI Community Forum duration (19-23 May). The up to five nights of accommodation cannot be outside the period during which Community Forum is being held.

5. Intellectual Property

All applicable intellectual property rights of an entry remain with the Entrant.

Entrants grant the Organisers permission to use any part of the submitted Entry, free of charge, for all purposes considered appropriate by the Organisers. Credit to the original author will always be given.

Entrants agree that any part of the submitted Entry may be edited by the Organisers.
